Production Coordinator

UK

Responsible for assisting AVMI's Producer and Onsite Event & Production teams in a range of administrative tasks and responsibilities. The Production Coordinator will be responsible for the scheduling and coordination of the additional resources and talent required by the Onsite Event & Production Teams and the first point of contact for talent scheduling, additional resources, hires and enquiries. They will be required to source and deliver additional services and personnel for events and creative services and manage the billing and management information reporting.

DUTIES AND RESPONSIBILITIES

As the first point of contact for the Events Team all correspondence should be managed in a professional and timely manner. The Event Coordinator is responsible for Scheduling, planning and coordination between both internal and external suppliers.

Responsibilities include, but are not limited to:

Scheduling all additional resources within the Booking Tool
Scheduling and coordination of the Production team; to include freelance or additional technician requirements
Engage with external suppliers to provide event and video production services and equipment not available within client site
Management of Event requirements and population of event schedule and Event Booking Tool
Management of Event material including the production brief, order of show and post show reports
Client Management - Building and maintaining client relationship
Venue Management - To work with Maintenance teams to ensure that the event spaces are kept to the highest possible standard, and to work in partnership with property management to provide a professional service to clients
Work with other sites and via other delivery channels and collaborate with peers in other client locations to deliver live events
Directing technical support queries to the appropriate level of support
Capture of Management reporting information.
Booking and facilitating Webcast services
Updating all of above parties on all changes
Ownership for monthly billing of all additional services and overtime.
Request ad-hoc Purchase orders to be raised- also all ordering for AV/Event (consumables)
Creation of handover documentation and failover processes.
About The Candidate
SKILL SET REQUIREMENT

Good Experience of relevant software applications e.g. Excel, Word, and corporate ERP systems
Experience within Event Spaces and Event Management understanding
Experience within Video Production and Production Management
Proficient in use of email and Outlook
Excellent Customer Service Skills
Excellent communication skills
Good numeracy skills
Knowledge of administrative procedures
Highly organised and skilled at multitasking
Ability to prioritise
Data management
Attention to detail and accuracy
Able to identify requirement for change or creation of an admin process and application of that process
