PRODUCTION COORDINATOR, FORMULA EWhisper is a leading global production company, specialising in sports, unscripted and branded entertainment.Our diverse team of over 270 team members work in offices across the UK and beyond, producing top level sports such as Formula One, UEFA and The Paralympics, as well as branded content, prime-time documentaries and entertainment quiz shows for a raft of broadcasters.In 2023 Whisper won a BAFTA and was nominated for an International EMMY. It's co-owned by Sony Pictures Television and is a seven-times Broadcast Best Places to Work. We are looking for a Production Coordinator to join us to work on our ongoing Formula E slate. As a central point of contact for the team you must be experienced in coordinating complex logistics, booking travel & crew as well as being able to work on your own initiative whilst being confident about when to refer up. The post would suit someone with experience in managing global logistics, coordinating with on-screen talent, and excelling in fast-paced, deadline-driven environments. The ideal candidate should be skilled at problem-solving under pressure and can adapt to challenges in dynamic production settings. Experience in motorsport is an advantage.Whisper is proud to be an equal opportunities employer, and we actively seek candidates from diverse backgrounds and communities.Key Responsibilities:• Providing direct support to the Production Management team by assisting with the organisation of logistics for remote productions, both globally and within the UK setup.• Assisting with the communication of key production information to Producers and wider teams.• Planning logistics and schedules for race events and shoots (including overseas) and booking crews and travel arrangements.• Producing complex call sheets with accurate and detailed movement orders.• Managing relationships with onscreen presenters, ensuring smooth coordination of their schedules in alignment with production timelines.• Managing visa applications and travel documentation for crew and onscreen presenters, ensuring compliance with international regulations and timely approvals for smooth entry into event locations worldwide.• Serving as the central point of contact for remote production during race weekends, ensuring that facilities, equipment and personnel operate smoothly and efficiently to support live broadcasts.• Coordinating post-production requirements (including edit schedules and client approval processes) and delivery specifications.• Completing post-production paperwork and possessing a basic understanding of music & archive clearance.• Understanding and implementing Health and Safety policies."Please note that responsibilities may be amended, added to, or removed to reflect the changing needs of the production or organisation."Skills and Experience:• Strong organisational and time management skills, with proven ability to plan logistics for complex remote productions and race events.• Comfortable and experienced in working with onscreen talent, ensuring smooth coordination and alignment with production timelines.• Experienced in handling international logistics, including managing visa applications and carnets for global filming.• Effective communication skills, able to coordinate key production information across Producers, editorial, and wider teams.• Strong attention to detail, capable of producing accurate call sheets and post-production paperwork, with a basic understanding of music and archive clearance.• Ability to serve as the central point of contact during live broadcasts, ensuring smooth operation of facilities, equipment, and personnel.• Basic budgeting skills to support cost management for productions.• High proficiency in IT, including familiarity with a range of software packages relevant to production management.• Ability to prioritise tasks and adapt quickly to changing project needs, maintaining composure under pressure.• A proactive approach, with the ability to work independently and effectively support team dynamics, including managing up to provide positive and effective support to the editorial team.• Flexible and adaptable, able to manage workload changes and new systems as required.• Understanding of Health and Safety policies with the ability to implement them effectively in production settings.• Location: The base for this position will be predominantly Kew, London. During race weeks and weekends, your working base will be Westworks White City.Working Days: 5-day week, x4 days in office and x1 day WFH.The role will include weekend working and unsociable hours to meet the needs of the production, according to the Formula E calendar and time zones of races. Lieu days will be given for any days worked over a five-day weekWhisper offers the option of flexi-time hours subject to production requirements.
