Production Coordinator

London

Comedy Central UK, a joint venture between Viacom and BSkyB, is the UK's biggest comedy network, available on platforms including Sky and Virgin Media in over 12.4 million homes.
Aimed at 16-34 year olds we show the very best new and classic comedy content from the UK and US including South Park, Broad City, Lip Sync Battle, The Middle, Impractical Jokers and Friends. Our original UK commissions include Your Face or Mine, Roast Battle, Drunk History, Russell Howard & Mum: USA Road Trip, The Chris Ramsey Show and our reboot of Takeshi's Castle with Jonathan Ross. We also show more stand-up than any other channel in the UK.


Department:

The Creative Services team is responsible for all Comedy Central promotions on air, online and in print, as well as the creation of sales / marketing and internal presentation reels. We consistently produce outstanding creative work, winning numerous high-profile awards in the UK and globally.

Accountabilities and Responsibilities:

Makelist Workflow

Check the makelist every day to be across producers workflow and delivery dates. Make sure producers are on track to deliver promos on time by speaking with them and ensuring audio bookings are made before the delivery date
Late deliveries - if a promo is going to be late (within the 7 day deadline) send a form to channel operations via email letting them know the reason and the new delivery date and ensure all departments are kept updated so no content misses its TX
Budgets & Financial Tracking

Once bookings have been made, allocate all costs to the appropriate cost code / budget line and tracker
Raise purchase orders on Market for approval
Receipt of purchase orders in Market after they have been approved and the work has been completed
Update departmental financial tracker to ensure purchase orders are raised and costs are tracked and that the overall budget is being kept within margin
Cross reference invoices & month end financial reports against departmental financial tracker to ensure budget is always up-to-date
Set up new freelancer companies / vendors in the SWIM finance system so that PO's can be raised
Shoot Coordination

Crewing up/booking all personnel for upcoming promo shoots
Liaising with crew and suppliers for upcoming shoots
Ensuring all crew/suppliers have relevant insurances and contracts in place
Working with the PD to set up itemised budgets for upcoming productions
Risk Assessment completion and distribution
Call sheet completion and distribution
Assisting PD on all other areas of shoot creation
Music Licensing
Ensure Producers have cleared music in advance of promo production
Along with the production assistant, ensure that all music returns are completed and submitted to Soundmouse on a monthly basis
Monitor and report on SATV useage ensuring the team is hitting targets
Legal & Contract Requests

Ensure all freelance staff are contracted correctly with HR and that agreements are in place for the duration of their contract
Submit and contract requests to legal department for external vendors or limited company freelance staff
Ensure contracts are signed and in place before work is undertaken


Additional Responsibilities:


When the production assistant is out of the office or on vacation - the following responsibilities are to be covered by the coordinator:

Promos
Check promos
QC & Technical check (audio levels, formats, aspect ratio etc)
Compliance check (Ofcom regulations for sound, product placement, parental ratings etc)
Schedule check (program time / date / duration / CC channel)
Dispatch promos for Transmission via Final Cut Server to Media Operations at Hawley Crescent, at least five days before the TX date with metadata which has all the media info
Daily liaison with Media Operations at Hawley Crescent regarding the delivery of all promos
Compliance
Ensure content is complied by legal (producers submit a signed compliance form)
Content Distribution
When requested, provide other Comedy Central territories / departments with promo materials so they can re-version for their CC channel or if they want to use as a reference, via an international FTP site. (The split tracks from the producer / audio suite plus high res video file)
Request and upload any useful and relevant material from the International FTP for the department

Accountabilities and Responsibilities:

Daily check of makelist, liaising with producers and ensuring deadlines are being met
Raising all POs
Managing bookings for all audio, voice over, limited company and freelance staff - ensuring contracts are in place and - purchase orders are raised
Keeping track of all freelancers booked within the team up to three months in advance
Shoot coordination (deputising for Production Director) on all Promo Shoots
Ensuring vendors are setup with finance & legally contracted, and that department finance tracker is kept up to date with purchase order numbers and payment status
Ensuring all music is reported effectively to Soundmouse
Ensuring all contracts are raised and in place with vendors
Knowledge of promo delivery, music reporting and compliance process to ensure Production Assistant can be covered when out of the office
General office maintenance, support and errand running

Person Specification:

Solid knowledge of Microsoft Word & Excel
Previous experience in a shoot production / post production environment is essential
Highly organised individual, who is able to prioritise tasks and responsibilities on a daily basis
Experience in dealing with compliance, clear cast and sound mouse desirable
Good team player who can work under pressure, to deadlines and budgets
Market (finance software) experience advantageous
