Production Coordinator

London

As Production Coordinator, you will be reporting into the Associate Publisher and will be focused on the day to day running of production for i-D magazine. There will be an element of office management, but print and website production is the lead focus for the role.

Responsibilities

Keep the production of i-D magazine on track and adhere to workflow, whilst responding to the fast-paced, exciting and unpredictable variables along the way, communicating actions needed to all involved, aligning the entire team with the workload
You will work alongside the AP to manage schedules, content trafficking, sign-off, ad submission and checking, and all file preparation for repro and print
You will schedule, manage and update internal workflow documents, keeping track of the status of all editorial content
Manage and track all invoices through internal accounting systems and liaising with suppliers on invoice details as needed
Alongside the AP and AD, liaise with printers and repro teams, developing specific technical knowledge i.e. the creation of specifications for print specials which need approval by the printer or checking that copy supplied meets the specified requirements
Sending out PDFs/magazines and tear sheets to contributors
Keeping the physical and digital archives up to date and archiving issues in a consistent and accessible way
Generate PDFs and digital assets for marketing/digital teams
You'll be the key person in the organisation who keeps track of production status and communicates action that needs to take place to all involved, aligning the entire team with the workload
You'll create harmony within the team whilst being firm on expectations, ensuring all necessary parties have signed off before proceeding. A successful production is when we manage to get the production out on time and to the standard required

Administrative Responsibilities

Liaising with and overseeing the Merchandise send outs
Supporting the Publisher with booking travel and expense reconciliation as and when needed
Consistently looking for ways to evaluate and help to implement new systems and workflows as required

Experience & Skills

You will have some experience in a coordinator / project management capacity, ideally within a publisher or creative agency
You will have great attention to detail and the ability to organise a vast range and quantity of data over complex timelines
You will be personable and approachable, but also tenacious and politely assertive
A confident and concise communicator, you will be comfortable liaising with both internal and external parties
Experience of processing invoices and expenses is a bonus, ideally using Netsuite, Concur or similar
You'll have had some cost management experience and are comfortable with budgets and schedules
A strong organiser, you'll be great at managing calendars and process and can prioritise and multitask with ease
You must be resilient and unfazed by changing process
You'll have the confidence to suggest and implement new processes
You will have an understanding of the i-D brand and have a keen interest in fashion, culture, identity and environmental issues
