Production Coordinator

Newtrade Publishing is recruiting for a production coordinator.
Based in Angel, London, Newtrade is a well-established, but ambitious B2B media company in the independent convenience and foodservice markets. Our mission is to support and facilitate long-term relationships with growth-focused retailers, wholesalers and their suppliers.

The production coordinator is responsible for:
• Liaising with editorial, sales, marketing and events teams to ensure inclusion of all paid-for content
• Using Salesforce to keep flatplans updated
• Maintaining effective systems and processes, including artwork processes and workflows
• Being the day-to-day point of contact for printers and suppliers
• Overseeing the creation of weekly and monthly print and purchase orders

Skills and experience required:
• Database and CRM software, particularly Salesforce
• Microsoft Office, and ideally Adobe InDesign and Acrobat
• Highly organised, with clear written and verbal communication skills and have the ability to interact at various organisational levels
• A team player, capable of using your initiative and of working well under pressure
• Excellent time management skills, able to manage multiple deadlines at a time

Through clear communication and a collaborative mindset, the production co-ordintor - a crucial cross-functional role here at Newtrade - connects teams across the business and maintains effective systems and processes. The production co-ordinator is the day-to-day contact for our customers and suppliers to ensure that artwork and inserts are supplied on time, to specification and that accurate records are kept. This role reports to the head of design and sits within the studio business function.

The role of the studio is to ensure that our products are easy to use and arrive on time for our audiences and customers, amplifying the value for money and enjoyment of our content. The production co-ordinator delivers this through thorough planning and concise execution, owning the artwork schedule and workflow through the Newtrade studio and across the company and with suppliers.

You will have an in-depth knowledge of print and production, be able to offer effective and innovative solutions within budget, ensure that briefs are accurate and stet resource is in place to deliver within agreed timescales so that consistent quality targets are met.

Reports to:
Head of Design

Key result areas:
1. To support the production of quality; industry-leading finished products, demonstrated by:
a) Economic and effective planning of issues and similar to hit agreed targets, for example on print orders and paginations;
b) Accuracy of end product to agreed standards;
c) Inclusion of all paid-for content;
d) Effective communication
2. To ensure an effective workflow in the Newtrade studio, demonstrated by:
a) Forward diary management and checking of briefs before they reach the studio;
b) Maintaining effective systems and processes, including the artwork process;
c) Accurate, on-time delivery;
d) Effective record keeping.
3. To collaborate well, demonstrated by:
a) Support of the head of design to protect her time;
b) Effective oversight of suppliers so they meet KPIs;
c) Weekly sign off by editorial, sales, marketing and finance to product plans;
d) Proactive decision making to seize opportunities and solve problems.

Essential Duties and Responsibilities include the following. Others may be assigned.
1. To be the day-to-day point of contact for internal communication with the editorial, digital, events, marketing and sales teams.
2. To support the head of design by effective management of workflows and accurate maintenance of the studio's ongoing production schedule, keeping accurate records.
3. To oversee the creation and sign off of flat-plans, ensuring they are communicated accurately and kept up-to-date.
4. To monitor artwork briefs, ensuring they are detailed and achievable, where necessary, suggesting improvements to bring them into line with studio needs and provide feedback to head of design where necessary.
5. To plan ahead so every design and artwork project is completed on time by checking timings and budgets to resource allocation and delivery, and by keeping documentation up to date.
6. To oversee all print contacts and to provide a point of contact between Newtrade and printers. Keep the head of design, editor-in-chief and finance director advised of any commercial issues and opportunities.
7. To research the best quotes for printed material and similar, including events collateral. To be the knowledge base for all printed enquiries and provide solutions for new opportunities.
8. To ensure all provided copy has been checked and that images, logos, pictures meet print quality requirements before handing over to the studio's design/production team.
9. To oversee the creation of weekly and monthly print orders and purchase orders for all print publications, ensuring they are in line with the business plan objectives.
10. To trap user and stakeholder feedback on the functionality of the production schedule, its management and advise the head of design.
11. To help create a company-wide understanding of how the studio works and to encourage positive support from all stakeholders on the value of adhering to the production schedule.
12. To work after hours where necessary, including attending company events.

Person Specification
Essential
1. An experienced facilitator and administrator capable of owning and managing multiple projects simultaneously, effectively prioritising workloads to ensure deadlines and business objectives are met.
2. A pro-active solution-focused approach, with experience of trouble shooting and problem solving.
3. Effective and persuasive communication and negotiation skills and supplier management experience, including briefing, managing timelines and costs.
4. Stakeholder management experience with evidence of ensuring processes are followed and deadlines are hit.
5. Experience creating, developing and maintaining schedules, ensuring they are up-to-date and accurate at all times.

Desirable
6. You have a passion for both print and digital design, demonstrated by your active interest in both.
7. You have managed a busy production schedule for either a publishing house or a design studio, qualifying job briefs and allocating time for design.
8. Clear written and verbal communication skills.
9. Experience of database and CRM software, particularly Salesforce.
10. You have experience using MS Word, Excel, Acrobat, InDesign, Photoshop and/or of content management systems.
