Production Coordinator

Cardiff

We're on the hunt for a production coordinator to assist the production team with managing all aspects of planning and organising on a variety of productions-sometimes in the UK, sometimes abroad. You'll be booking crew, kit and locations, figuring out the logistics of travel and accommodation, preparing call sheets, risk assessments, insurance cover and anything else that needs sorting.

You'll be coordinating the status of all current projects on our project management platform and ensuring everything is accurate and up to date, as well as maintaining our various contact databases.

You'll assist the MD with the invoicing and payment process, keeping track of project budgets and ensuring all necessary payments to suppliers are made in a timely and accurate fashion.

You'll get stuck in with day-to-day company administration, including answering phone calls, welcoming guests, ordering office supplies and ensuring the board room and kitchen are well stocked and looked after.

We won't keep you in the office, though. You'll be making yourself useful on shoots as a production assistant, working closely with the producer to keep things running smoothly.

This is a junior role with a lot of responsibility, but as the company grows, we would expect you to transition into a more senior production role.

You're all about organisation. The world of calendars, spreadsheets, post-it notes and to-do lists? That's your happy place, and you don't care who knows it. Do your friends and family always rely on you to make the plans get everyone organised? Then you're probably the kind of person we're looking for.

Numbers are your friends and you're financially literate. Nothing gets you more excited than a well-put-together spreadsheet. You probably keep a detailed cashflow for your personal finances because you like to plan ahead, and you never go through an online checkout before googling for a cheeky discount code.

You thrive on communication. You can write concisely and with a strong voice, without typo or delay. You'll spot a pesky double space or disgusting use of the wrong "your" from a mile away while screaming internally because you're a stickler for detail. If someone doesn't reply to an email, you're not in any way scared of picking up the phone to work your charm and get what you want.

You're switched on, focused and solutions-driven. Always. Getting. Shit. Done. You're not afraid of long hours and you welcome pressure from all angles. You handle it with grace, thanks to your uncanny ability to see opportunities and solutions in the face of a challenge. You're a master of prioritising your own workload and managing tasks to achieve deadlines and you can identify potential issues before they become problematic. The busier things are, the better. Nine people are waiting on you for something, but you have it all prioritised instantly without batting an eyelash.

You have an insatiable curiosity and lust for knowledge about all things video, web and social. We'll do everything we can to help you improve and hone your skills, but you'll have a lot of independence, so we expect you to always be learning and be making the most of the opportunities presented to you.

You're able to adapt to different roles within a team. Whether it's smashing out an accurate call sheet, categorising expense receipts, chasing up a local council for a filming permit, or making the teas, you won't sulk when someone asks you to do something you don't want to do; you put 100% into any role that's thrown at you. You're helpful to the point that it's almost annoying. Kit needs loading into the van? On it. Clients are waiting for a meeting? Straight in there keeping them occupied. Printer's out of ink? You ordered some yesterday.

That's just the kind of people we are and want you to be; a hard-working, sparkling personality that will mesh well with the existing Storm & Shelter family. We love smart people with a dash (sometimes a dollop) of quirkiness.

Required

At least a year of experience in an administrative/organisational role.
Excellent people skills-one of those humans that gets on with just about anyone (and has impressive negotiation skills as a result!).
You'll need to be numerate, financially literate, and be able to spot written mistakes from a mile away.
You're a dab hand with Google Apps (Docs and Sheets) and Microsoft Office, with an ability to quickly learn new software and processes.
A full driver's license. You'll need to be able to travel at short notice.
Not awful at making a cup of tea. Truly unforgivable.

Nice to have

A relevant degree. Speaks for itself.
Experience with project management platforms (Asana, Basecamp etc).
Good understanding of video production requirements and best practice.
Experience with Adobe Creative Cloud software.
Able to speak/read/write in the Welsh language.

What we're offering

You'll get paid real money. No, really! We're offering a competitive salary of £18-21k depending on your experience. We'll also throw in a MacBook Pro for you to work on, 28 days paid holiday per year, and we'll contribute to a proper grown-up pension scheme.

We're pretty flexible here in terms of hours. We officially work 9-5, but it's a fairly loose rule. We're often on shoots that go on well into the early hours, which naturally triggers the need for a lie-in. We're not monsters. If you need to leave early for your death metal band's gig in Plymouth or that cheese-tasting session that your grandma booked for you for your birthday, as long as your work gets done on time, we won't stop you. Due to the nature of what we do, however, you'll be expected to work some evenings and weekends, as well as short periods away from home.
