Production & Events Assistant

Birmingham (With some UK travel)

An exciting opportunity for a skilled and motivated Production and Events Assistant to help monitor the delivery of a slate of broadcast and digital projects commissioned from leading arts and cultural organisations across the UK and to support the delivery our training and mentoring services.

Context:
The Space is a unique commissioning and development organisation, supporting greater digital and broadcast access to arts and culture in the UK. We help arts and cultural organisations create a range of content, from live event performance captures for BBC TV, to short-form marketing material, low-cost streaming, online curations and interactive projects.

Our programme includes:

• Broadcast 'capture' commissioning: approximately 8 commissions per year comprising captures of live art performances primarily for
broadcast on BBC TV
• Low-cost R&D commissions: approximately 20 commissions per year that serve as action research projects, reflect the diversity of
contemporary England and give participants practical experience of producing cultural content that engages digital audiences
• Training and skills development: designed to increase the arts and cultural sector's skills and confidence to deliver broadcast and digital
projects, through workshops, online resources and mentoring

We also partner with other organisations to seek funding for activities that are complementary to these areas and will be developing additional services for the sector to access on a paid-for basis.

Hours: 37.5 Hours per Week
Reporting to: Production Manager, Communications Manager

Overall purpose:

We are looking to recruit a Production & Events Assistant to monitor and support the delivery of our digital and TV commissions by arts and cultural organisations in the UK and assist in the delivery of our training programme. The role also involves some office support tasks.
The successful candidate will work closely with our Production Manager to ensure the smooth running of commissioning and production processes from scoping and contracting through production to final delivery.


Key Responsibilities

• Helping to draft and issue commissioning, associate and other contractual agreements for signing, working with standard templates
• Monitoring the production and delivery of commissioned projects in line with contracted milestones. This includes reviewing content,
marketing material and corresponding paperwork
• Supporting the Production Manager and commissioning team to keep an updated timetable of production and marketing activities across
our slate
• Liaising with the finance team to ensure project invoices are processed in a timely manner
• Helping ensure that production paperwork is complete and accurately filed and where appropriate input into third party systems (e.g. the
BBC's Silvermouse portal)
• Managing the process of digitally archiving production content
• Assisting with delivery of our programme of workshops and events, including helping to manage the booking processes, venue logistics
and post-event feedback
• Assisting with the delivery of our programme of mentoring arts and cultural organisations, including scheduling sessions and co-ordinating
feedback and evaluation from participants
• Supporting the CEO/Creative Director and Chief Operating Officer with diary management and travel arrangements
• As part of the head office team respond to external telephone calls and enquiries and ensure office supplies are regularly ordered and
standard office equipment is maintained
• Such other tasks as may from time-to-time reasonably be required by the Company

Person Specification:
Experience- Essential:
•Project or production coordinator experience in a digital content or broadcast environment
•Experience using online databases to record and report project information to senior stakeholders
•Experience of working in a small team, managing demands and delivering to timetable

Experience- Desirable:
•Experience of helping to set up shoots and deliver content across a range of digital projects and platforms
•Event management experience
•Experience working with or for arts and cultural organisations

Knowledge & Skills- Essential:
•Excellent administrative and organisational skills with good attention to detail
•An understanding of the processes of commissioning and contracting digital or broadcast content
•Strong data management, analysis and reporting skills
•Strong written and verbal communication skills

Knowledge & Skills- Desirable:
•Knowledge of multi-camera live streams, delivering programmes for television broadcast and short form content for social platforms
•A basic knowledge of video editing tools (e.g. Adobe Suite, iMovie)

Personal Qualities- Essential:
•Excellent interpersonal skills with the ability to develop strong and successful working relationships at all levels
•A self-starter, comfortable working in a fast paced, changing environment and able to remain calm under pressure

Personal Qualities- Desirable:
•Demonstrable knowledge and passion for arts/culture
•A natural curiosity and interest in digital technology, and the future of the arts and media industries
