You will provide general secretarial and administrative support primarily to the two VPs, Director and two Company Secretaries but also other members of the team, including the Legal Trainee and Paralegal on an ad hoc basis. These responsibilities include:Creating & maintaining systems to deal with work and workload (i.e. ensuring efficient in/out system, filing, priorities, day files, follow-up systems, etc.).Managing diaries, organising and prioritising daily workload, making appointments, and scheduling. Organising and assisting with meetings as necessary.Ensuring a seamless handover between job-share co-worker to ensure that all tasks are properly handed over and tracked. Monitoring phone lines, taking and relaying accurate messages.Preparing, amending and formatting legal documents (e.g., legal correspondence, reports, memoranda, contracts, amendments etc.). Running document comparisons. Circulating and tracking documents sent for execution. Distributing and copying documents and other materials to relevant parties. Processing and submitting invoices for payment and expenses for reimbursement. Organising travel itineraries.Responsibility for co-ordinating/running administrative projects, such as weekly and monthly status reports, department and team events.Assisting with departmental administrative duties including stationery ordering. Maintaining the department's Outside Counsel Database and the commercial team's precedent database.Working closely with other assistants in the Commercial team and the wider department to provide cover for other members of the Commercial team and the wider department during holidays and other absences.Developing elementary legal skills including learning how to use Practical Law, Lexis, Companies House Register and government websites relevant to Employment, Data Protection and Intellectual Property Law.Any other ad-hoc duties as required.What do we require from you?Proficient with MS Office suite, including word, excel and powerpoint. Able to communicate effectively at all levels, both internally and externally.Reliable and a team player. Accurate in your work, pays attention to detail. Likes solving problems. Organised, able to manage heavy workload and prioritise effectively. Professional and able to handle confidential material appropriately. Bonus Points for?Knowledge of legal IT systems (including eDocs/DM10, iManage and Law Manager).Knowledge of other IT systems, including Concur (expenses) and SAP (invoices).European language skills.Interest in the law.Prior experience of working in the legal profession, whether in private practice or with an in-house legal team.
