Personal Assistant

London

We are looking for a full time Personal Assistant to work directly for a Company Director.

This role spans all areas of their life ie work and some home, from managing all admin aspects to booking and arranging meetings, travel, appointments, shopping, booking social engagements, gift buying, liaising with talent and members of the family etc. The main area of importance for this Director is trust and discretion, followed by strong organisational skills.

This person will be responsible for:
- Complete management of all business dealings and personal diary/schedule, anticipating needs, prioritisation and preparation for meetings and key events.
- Book venues for business lunches, dinners and meetings, managing invites, proposals and meeting requests
- Proactively follow up with various members of staff on deadlines and actions taken from meetings.
- Complete management of all business travel
- Producing detailed itineraries for travel schedules, business meetings and engagements
- Screening and filtering all business and personal mail, drafting replies where necessary and ensuring that the Director is fully briefed on all relevant correspondence at all times.
- Reading, monitoring and responding to emails.
- Organising travel within the UK and abroad.
- Answering calls on behalf of the MD and handling general enquires.
- Work with the MD on various ad-hoc projects and supply assistance where necessary.
- Working closely with the company's associated agents. They will be the key point of contact for the Director and excellent communication here is essential.
- Booking and arranging meetings, travel, appointments, shopping, social engagements, gift buying, liaising with talent and members of the family etc.
- Liaising with clients and talent so discretion and confidentiality are essential.
- Planning, organising and managing the director's external contacts, clients or potential company away days. These must be managed on an agreed budget.
- Organising and maintaining office systems, including filing, contacts, supplies, and inventories.

Skills required
- Highly organised, brilliant at multi-tasking and a good communicator.
- Must be able to effectively manage their time.
- Able to juggle a varied workload in a calm and effective manner.
- Adaptable, confident, discreet and self-motivated.
- A superior level of tact, integrity, confidentiality, diplomacy and professionalism. Dealing with matters of a sensitive and confidential nature, this role demands strict confidentiality both internally and externally at all times.
- IT literate, particularly confident with Mac computers and Outlook email.
- Excellent spelling and grammar and good typing speed.
- Knowledge of the broadcasting industry is desirable.
- Comfortable with working remotely outside of office hours when necessary.
- Be confident working with talent with MD's guidance.

Monday - Friday 09.30am - 6.00pm
office based in Chiswick, West London.

We are looking for candidates to start asap for a 12 month contract (with 3 month trial period)
