PA to Executive Producers

London

Red Planet Pictures is a production company which specialises in high end, innovative and bold drama with recent productions including returning series Death in Paradise and Sanditon and ITV's four-parter Our House. We're recruiting for an experienced PA to come and join our team.

ROLE: PA to Executive Producers
REPORTS TO LINE MANAGER: Executive Producers
LOCATION: London
SALARY: £32 - £36k dependent on experience
CONTRACT: Initial 12 month contract with 3 month probation period

PURPOSE OF ROLE
• To assist three Executive Producers by providing comprehensive administrative and office support.
• To provide extensive and proactive diary management.
• Effectively organise meetings and appointments.
• Arrange international and domestic travel, accommodation and itinerary where necessary, including the ability to plan effectively across different
time zones.
• Managing emails and correspondence, taking the lead in dealing with any non-essential element.
• Managing expense administration for Executive Producers.
• Managing and prioritising incoming phone calls.
• Producing documents to a high standard.
• Undertaking project-based research.
• Any other duties as reasonably required.
• An excellent knowledge of Word/Excel and Mac software is essential as is excellent literacy, interpersonal skills and willingness to muck in.

SCOPE OF ROLE - KEY ACCOUNTABILITIES
• Providing comprehensive diary management to the Executive Producers - with effective and efficient planning, managing their time against
conflicting priorities.
• Organising conference/video calls and travel
• Maintaining efficient filing systems - physical and digital
• Formatting and filing documents before sending out.
• Organising couriers and deliveries
• Updating contact lists keeping across mailboxes, PR and website updates in conjunction with other members of the admin team
• Dealing with routine enquiries and correspondence as appropriate and managing filing systems
• Liaising with writers, producers and directors and their agents, checking availability, creating and updating spreadsheets.
• Helping with development/production schedules where necessary.
• Aiding the preparation of presentations and pitches
• Liaising with Producers and Production teams of individual projects
• Research for a variety of specific projects
• Helping to manage screenings and other events
• Providing ad-hoc administrative support to the development team. assisting with the systems to ensure they remain accurate and up to date.

General
• Uses initiative to problem solve, pre-empt and identify issues that need action or opportunities for improvement.
• Establishing excellent internal and external contacts.
• Providing backfill leave support to the office manager, PA to MD's and other members of the admin team where necessary
• Able to manage their own workload effectively and is able to assess priorities to meet conflicting deadlines, often at short notice and under
pressure.
• Responsibility for EPs hospitality - including preparing any necessary paperwork, making tea and coffee etc for guests.
• Occasionally assisting with the organisation of company events, parties, and hospitality.

SKILLS, EXPERIENCE AND QUALIFICATIONS
Experience
• Proven track record as a PA, ideally with experience in the television industry, with excellent administrative skills with good spoken and written
English, with a high attention to detail.
• Experience of television post production is desirable.
• Extensive experience of diary and international travel management.
• Confident, dynamic and positive attitude, with an ability to thrive under pressure.
• Proven track record in providing support at senior management level.
• Experience of working in a busy office managing conflicting demands from senior managers with a demonstrable ability to prioritise.
• Excellent working knowledge of MS Office including PowerPoint, Word, Excel and Google products and adeptness at learning new computer
packages, along with an excellent understanding of computers, IT and social media.
• Experience of arranging and taking responsibility for the preparation of meetings and events.
• Some relevant experience in the media industry is desirable and a passion for television drama production is essential.
• Being able to work under pressure and to short timescales where necessary;
Skills
• This role will require initiative and flexibility, and someone able to work at speed and calmly under pressure. Crucially, you will have the drive to
get every job done to a high standard.
• Excellent interpersonal and communication skills, both written and verbal with experience of liaising at all levels.
• Ability to work collaboratively in a team and also discreetly when handling sensitive information or situations
• Excellent time-management and organisational skills and a knowledge of best office practice
• Excellent planning skills and the ability to calmly and effectively prioritise workload
