We are currently seeking a highly organised Assistant to support the VP, Acquisitions (Channel 5 and VIMN UK), VP, Channel Management (Channel 5) and two Commissioning Editors. Working as part of a tight knit administrative team, the role requires a high degree of professionalism, adaptability as well as an enthusiasm for broadcasting and the television industry in general.
KEY ACCOUNTABILITIES:
Managing the VPs' and Commissioning Editors' calls and emails when not available, dealing with queries in a timely and professional manner.
Managing diary - coordinating meetings (with external companies - e.g. productions companies and distributors) and internal (e.g. weekly routines) and viewings for VP, Acquisitions and Commissioning Editors.
In conjunction with the other department PA, arrange trips to annual programme markets, such as, MIPTV and MIPCOM, Sheffield, Edinburgh and the LA Screenings (organising schedule for UK Viacom contingent) - delegate registration, flight & hotel bookings, booking meetings with distributors in advance. Coordinating start up meetings for new commissions within the department
Manage all viewing schedules and brainstorms for the Commissioning Editors.
Supporting VP, Acquisitions to prepare for BBAM meetings with corresponding paperwork prepared in a timely manner.
Manage expenses for VP, Acquisitions and Commissioning Editors.
Involvement in devising and launching new systems and ways of working in conjunction with the department Executive Assistant.
Ad hoc support to the Executive assistant for COO and Director of Programmes where required.
Copy and forward screeners for other departments where required.
Manage TAPE DVD logging and ratings documents.
To produce PowerPoint presentations as required to a high standard.
EXPERIENCE & KNOWLEDGE:
Excellent IT skills and competent using MS office including PowerPoint.
Experience of complex diary management.
Experience of arranging international travel.
Evidence of providing PA support at senior management level.
Excellent communication skills and ability to work under pressure.
Highly pro-active and self-motivated and be able to take initiative for day to day problem solving.
Able to work to tight deadlines and manage time effectively.
Must be highly adaptable.
Experience of working within TV industry is desirable.
