Personal assistance and diary management. Act as the first point of contact for the Head of Pacific Quay Productions and Head of Production, exercising judgement when assessing the relative importance of calls and enquiries
• Provide general office support to the senior management team and act as main point of contact for general enquiries. Resolve queries where possible and pass them on as appropriate.
• Manage and prioritise busy diaries and deal sensitively with conflicting demands. This will often involve re-scheduling diary appointments at short notice
• Manage the organisation of meetings, including booking conference rooms, setting agendas, coordinating attendance and setting up conference calls. Taking minutes and setting up PowerPoint presentations as required.
• Email management. Respond on behalf of department and senior team to routine emails and correspondence.
• Communicate to the department on behalf of the senior management team via newsletters and departmental emails.
• Create PowerPoint presentations from given information
• Undertake basic analytical working using excel spreadsheets
• Contribute to ad hoc projects and activities
• Organise departmental events, speakers and team activities
• Administrative support for departmental industry award submissions; including collating clips and gathering synopsis' from Production Managers
• Provide administrative support to the senior team; i.e. raising purchase orders and reconciling expenses
• Holiday cover for other administrative and IT coordination roles within the department

Are you the right candidate?
• Secretarial and administrative experience at a senior level with demonstrable experience of managing a constantly changing diary
• Demonstrable experience of maintaining office and administrative systems and of devising new systems or improvements to existing ones where appropriate
• Strong and proven computer literacy, as well as a confident approach to dealing with IT issues. Excellent knowledge of Word, Excel and PowerPoint
• Excellent communication skills. Ability to communicate information effectively to a wide range of stakeholders
• Fastidious attention to detail and organisational ability
• Ability to schedule workload efficiently to ensure deadlines are met
• Use initiative when responding to emails and prioritising work load, referring upwards where necessary
• Handle confidential information with tact and sensitivity
• Resilience and stamina to sustain performance when under pressure from a high volume of work and conflicting priorities
• An appreciation and understanding of television production and an interesting in factual programmes is preferred but not essential
