PA and Office/Production Assistant

London

This is a busy and varied role supporting the Senior Director of Eurosport in the UK, as well as supporting the office and production departments. Eurosport broadcasts two live channels, Eurosport 1 and Eurosport 2 in the UK and support is required to assist the production team to ensure successful programming both live and delayed across both channels.

Responsibilities

PA duties:

Maintain and manage the Senior Directors diary.
Coordinate internal and external meetings.
Arrange and minute internal, department and external meetings as requested.
Organise travel arrangements in UK and overseas.
Professionally greet all clients and visitors.
Make refreshments and beverages, etc, as required.

Office/Production Duties:

Support Production Management team in booking crew including Producers, AP's, Engineers etc.
Update the production rota on a daily basis when bookings are made and keep unavailable list up to date.
Raise purchase orders for all bookings and ensure invoices are processed by AP in a timely manor
Keep an accurate log of any freelance payment issues on behalf of the department
Set up all new suppliers on the system for payment and offer admin support in setting up email addresses
Plan and book travel and accommodation for crew including hotels, flights, trains, taxis, hire cars etc.
Facility support - order in new kit requirements for the production team
Organize branded clothing requirements
Provide organisational support to the Production Management team.
Liaise with building landlords regarding facilities issues.
Answer incoming calls and redirect as appropriate.
Manage incoming and outgoing post for the office.
Manage meeting room bookings and arrange catering when requested.
Book couriers.
Meet and greet all guests and advise relevant personnel of their arrival.
Act as liaison point for new staff - showing them around the building, advise basic IT and HR procedures, ensure that a desk is available and explain operating use of equipment and systems.
Order and maintain stock levels of stationery, office sundries, photocopying equipment, tea/coffee supplies and water.

Requirements

Produce work of high quality that is checked prior to it leaving the department.
Exhibit excellent organisational and communication skills and demonstrate empathy in dealings with clients and staff.
Time management - demonstrable ability to meet deadlines.
Enthusiastic and approachable disposition.
Pro-active, can-do attitude to work.
Able to take the initiative and work without supervision.
Ability to build and maintain effective working relationships with staff and outside contacts.
Maintain a high level of confidentiality at all times and exercise discretion and good judgement when dealing with confidential matters.
Keep up-to-date with the business of the company.
An interest in sport is desirable.
