PA / Team Assistant
London
We're looking for a highly organised and proactive PA with strong communication skills, good prioritisation skills, and an excellent eye for detail, to support to the GM and MD of MOS. You will be responsible for diary management and expense support for Heads of Digital, A&R and Marketing, along with providing team assistant to support to the broader team.
Responsibilities
To provide the first point of contact often requiring liaison with other internal senior executives (including international colleagues) and external contacts ensuring queries/calls are dealt with professionally and efficiently at all times.
Ensuring that the MD and GM are fully organised and prepared for any meetings.
Arranging meetings and managing a demanding diary schedule, ensuring that appropriate meetings are given priority in GM & MD diaries.
Diarise and coordinate all label meetings; organising and printing resources, drafting label agenda, checking and printing MOS release schedule for label meetings.
Taking minutes at label and team meetings, circulating actions.
Administrative support to A&R team, including organising filing of A&R assets.
Liaise with IT and facilities to ensure smooth running for all MOS team members.
Organising travel arrangements including booking accommodation, taxis and flights for the whole MOS team.
Maintaining department information files on shared drive.
Processing expenses, raising purchase orders and matching invoices for all general MOS spending.
Undertaking a co-ordinator role for the department; diarising department meetings, holiday and absence administration, ticket requests and liaison with internal departments.
Ad hoc project work as and when required.
Manage diaries for Team as required, with focus on Head of A&R, Marketing and Digital.
Book cabs, bikes and couriers for the team.
Ensure smooth running of office - phones, computers and general office equipment.
Assist team on a day to day basis - first point of contact - required to disseminate information, prioritise, take detailed notes and messages etc
Book meeting rooms when required.
Person Specifications
Previous proven PA / Team Assistant experience (preferably within music).
Highly organised and efficient.
Excellent prioritisation skills.
Exceptionally proactive with a 'can do' attitude
An enthusiastic team player.
Calm under pressure.
Excellent written and verbal communication skills.
Excellent attention to detail.
Experience using a range of Microsoft Office packages.
Advanced PowerPoint skills.
Advanced Excel skills prefered.
Able to deal with confidential information in a sensitive manner.
