Office Manager (Qatar)

Doha, Qatar

We're looking to recruit a new office manager for the The Edge's Doha, Qatar office. The candidate needs to already be based in Qatar and hold the necessary permits to work. General Office Duties - Making sure that the phone is answered as quickly and efficiently as possible - Filtering calls - Meeting and greeting clients and other visitors to the office - Keeping track of the whereabouts of all members of staff; who's on holiday, out of the office, on lunch etc. - Ordering couriers - bikes and cars, as and when required - Maintaining stock levels of all consumables - Extensive email management; monitoring, prioritising and responding - Organising national and international travel arrangement - flights, hotels, logistics Management Duties - Assist in the recruitment process for new staff members - Analysis and collation of CV's - Partaking in the interviews of new team members where appropriate - Informing successful and unsuccessful candidates - Holiday allocation - monitoring and approving staff holiday - Administration of absenteeism/sickness - Allocation of production jobs to the staff - Tracking staff work flow and projects - Share responsibility for a work experience participant's well-being and of the allocation of their tasks for the week. Collate and file work experience feedback questionnaires. Duties to Assist Client Liaison - Busy diary management - scheduling & chasing of meetings, client liaison - Attending meetings, taking minutes, briefs and reporting back - Building relationships with potential and existing clients - Setting up meetings and video conferences/ calls - Preparing/ formatting documents for clients/ meetings - Creating PowerPoint presentations for meetings, events & presentations as required - Liaising with creative development and sales teams on Director's behalf where appropriate/required DESIRED EXPERIENCE / SKILLS - Excellent people management abilities - Ability to delegate efficiently - Discretion - Diplomacy - Confidence - Flexibility - Proactivity - Resilience - Experience of working in a busy office environment - Excellent time management and prioritising skills - Ability to use initiative and work autonomously - Excellent communication skills both verbal and written - Meticulous attention to detail with excellent organisational skills - Ability to build and maintain relationships with clients and colleagues
