RESPONSIBILITIES
OPERATIONS
Operations supervision and training (protocols, IT...)
Making sure the office always looks its best, greeting guests
Calendars management - Planning & Scheduling
Answering/filtering calls and taking messages, updating the phone system
Booking travel, taxis, couriers, restaurants
Bookkeeping assistance (incl. Production workbooks, ForEx rates)
Daily duties ranging from day-to-day office errands, ordering stationery and office
supplies to shipping logistics and managing deliveries
HR
Draft Offer letters and Employment contracts from templates
Liaising with accountant on Payroll and Pensions
Holidays & Sick days management and review / Resourcing control
LEGAL
Third Party legal documents check
Legal Docs commission and review
PRODUCTION
Production desk research and general support
Jobs Legal documents check and log (NDAs, Talent Releases, permits...)
Newcomer training (production workbook and tools)
Log and back-up final assets
Building databases (contacts grid...)
PROFILE SOUGHT
5-year experience (in similar industry preferred)
Intuitive, resourceful.
Fun and friendly with a can-do / problem solving attitude
Good organisation and high-level admin skills
Good presentation
Very good knowledge of Microsoft Word, PowerPoint and especially Excel for expenses reconciliation, plus iCal, iMail and Keynote Mac softwares
Multitasking and proactive
Excellent command of the English language, both spoken and written
