A Productions have a unique and exciting opportunity for an Office Manager to join the team at our busy studio in the centre of Bristol.
In this role you will be responsible for the studio's day to day operation, with tasks varying from supporting the productions with their day to day administrative needs to ensuring that the studio as a whole runs smoothly and efficiently. Salary D.O.E.
Key Accountabilities:
* Act as the main studio administrator: answering the door, post management, sending/receiving courier packages, etc.
* Answering, screening, and passing on incoming calls or taking messages
* Manage office supplies inventory, including stationary, kitchen, and miscellaneous studio supplies
* Liaise and develop good working relationships with external vendors (e.g. building management, caterers/craft services, suppliers etc.)
* Manage petty cash and reconcile expenses on a monthly basis
* Oversee current security access system; set up passes for new employees, sign in guests and manage visitor NDAs
* Take responsibility for all studio maintenance and maintenance records
* Regular inspections of studio space for cleanliness and organisation, implementing changes as and when necessary
* Assisting with diary & meeting management
* Ensure that all studio Health and Safety documentation is updated regularly. Report and act upon identification of any Health and Safety concerns or violations.
* Daily interaction with leadership & supporting teams to ensure smooth running of the studio
Client & Event Management:
* Welcome employees, clients and other visitors with an amiable disposition
* Prepare meeting space for client visits and provide administrative support during meetings where necessary
* Event planning for project parties and other company events
Operations / Facilites:
* Travel Coordination, to include booking flights, hotels, long & short stay accommodations, preparing travel itineraries, arranging taxis, and so on
Skills and Experience:
* Minimum of 5 years administrative experience
* Any relevant Health and Safety Qualification
* Strong numeracy and literacy skills, with previous experience handling and reconciling petty cash
* Proficient in using Mac and PC systems, including Microsoft Outlook, Word, Excel and GoogleDrive
* Demonstrated ability to multitask, prioritise, be resourceful and flexible
* Customer service mindset; to be confident and professional when dealing with clients and staff of all levels
* Strong people skills with the ability to work effectively both individually and as part of a team
* Ability to take initiative and work independently
