They will work closely with the special events editorial team and the Operations and Finance Director managing budgets and schedules, production and post-production workflows, effectively and efficiently. Providing a consistent financial and production presence across all programming within the Special Events unit but with a critical brief to manage Operation Lion and Forth Bridge ResponsibilitiesFINANCIALPreparation of budgets and schedules in accordance with editorial briefs, client requirements, identifying andMaintaining budget reconciliations and creating ad hoc budget forecasts and reforecasts as requiredManaging agreed budgets in line with production requirements and delivery timescalesManaging cost manager systems, forecasting costs to complete, providing regular cost reports to the OFDWork closely with the finance team, providing confirmation of supplier invoice details, payroll payments and claims, coding invoices or timesheets to projects once received, ready for approval and check and process staff expenses, oversee petty cash and float reconciliations, project expenses and invoice submission PROGRAMMINGBook and manage internal and external resources, kit, staff and freelancers across all areas.Oversee pre-production and planning to ensure the whole team understand the editorial requirements, schedule, health and safety issues and any compliance or legal issues relevant to Special Events unit programming.Manage production and post production technical and personnel workflow requirements for Special Events Unit programming.Planning personnel (freelance and staff) and resource allocation and maintaining database/contact listsOrganise and liaise all aspects of post-production for the teamManaging and preparing call sheets, risk assessments and insurance cover requirements as requiredDevelop and maintain strong relationships with external suppliers and external clientsMaintain good communication and liaise with the cross company Special Events plannerOverview, management and prompt preparation of post-production paperwork/legal reporting requirements including music cue sheets and release forms, copyright clearances, rights management and agency clearance and reportingSupporting the newsroom on extra projects as and when required These are the main requirements of the role and is not an exhaustive list of duties. It is intended to reflect the nature, range, and context of the work, which will change over time.QualificationsA facilitator able to take on considerable responsibility and recognise and work to the authority of senior managementExcellent people management skills - able to motivate, inspire and support all members of the production teamHands-on Line Producer/Production Management skillsAccurate financial, cost management, forecasting and reporting skills, including working with excel spreadsheets, combined with a keen awareness and understanding of the financial implications of all decision making to achieve maximum production efficiency and spendExcellent forward planning skillsExcellent interpersonal and communication skills at all levels, including client managementExcellent organisational and time management skillsExtensive experience in identifying suitable freelancers to work across projectsExperience of workflow design and review, be able to organise all technical aspects of production and post-productionExperience of working with and managing risk assessments and insurance cover, including added risk coverExperienced in both UK and overseas filming requirements, carnet, travel and visa processesA natural problem-solver, with the ability to think creatively, technically and laterallyConfident and persuasiveHighly computer literateAble to remain calm under pressure and multi-task effectivelyAble to work as part of individual teams and across the department, providing a cohesive presenceStrong negotiating skillsWorking closely with OFD and legal team to ensure production budgets are approved and contracts received and signed off
