Head of Bookings

We collaborate with our clients to craft campaigns across multiple platforms and disciplines, adopting an innovative and agile approach to creative and post-production processes.

As Head of bookings in our Soho studio, they will be managing a team of booking staff to control the studio. As the office grows in size and new technologies, develop allowing alternative working stiles; the Bookings role for our company becomes more and more critical.

This person must consider both client and operational needs so that resource utilisation and revenue are optimised. They will need to be able to give sound advice on the appropriateness of bookings and resources and always negotiate and offer alternatives.

This person must provide an immediate response to queries and supply accurate information about staff & facilities accordingly. They will assist producers in basic job management tasks and therefore ensure accurate billings & reconciliation.

•Schedule in video and audio work for the TV department as per timing plans provided by the producers
•Keep oversight of the schedule daily, so the resource can be allocated & utilised in an efficient, fair and cost-effective manner.
•Look ahead and flag any potential resource or workflow challenges.
•Collate relevant information for operators to enable them to do their work (brief, script, technical specifications, timing plans, job & project numbers, font information, etc.)
•Liaise with Producers and Operators when more detail is required for a booking.
•Ensure that all operators are informed of what jobs they're working on at any particular time
•Ensure all resources have been allocated to their workstation/suite and are aware of where they should be located daily.
•Arrange Freelance contracts and setups and NDA forms when required.
•Liaise with Global offices when overflow resource is needed.
•Be aware of external and agency Clients, Directors, Creatives, Producers etc., arriving and working in the Suites. Make them feel welcome and ask the Runner to make refreshments.
•Generate quotes with the assistance of the post producers
•Deal with initial requests and standard/rate card bookings
•Ensure projects are running on time and to budget, and informing the relevant producer if this isn't likely to happen
•Maintain a cooperative and motivated team Source & book freelancers with relevant and high-quality skills when required
•Prepare Purchase Orders, Pre Invoices & Invoices
•To be familiar with all services offered within the TV department to promote clients with appropriate reconciliation of bookings and projects.
•Be aware of workflow limitations with flexible working and coordinate these project bookings with the producers and Head of Post operations.

Requirements

•Bookings experience in a large post-production facility
•Experience using and managing Farmers Wife Scheduling Manager or similar.
•Good working knowledge of post-production processes and services
•Excellent time management skills & multi-tasking abilities
•Attention to detail
•Able to adapt to new working methods & practice technology advances
•Form good working relationships with post producers and operators & clients
•Positive attitude towards problem-solving and tight deadlines
•A clear understanding of the meaning of customer care/service
