Executive Assistant

London

This is a demanding, fast-paced role providing comprehensive assistance and support to the President of News International. The EA is responsible for supporting all day-to-day activities undertaken by the President. This is an internationally focused role and includes comprehensive schedule management, and complex travel arrangements. The role has limited face to face time with the President so will require someone who is comfortable to work autonomously and flexibly. This role will also include the preparation of presentations, tracking of key actions required and direct liaison with senior level stakeholders both internally and externally.

Qualifications/Requirements

• Full schedule management including coordinating internal and external meetings, multi-location video conferences and conference calls across multiple time zones; ensuring Presidents meetings stay on schedule throughout very busy days including when the President is based in Europe
• Coordinating extensive and complex travel agendas and arrangements, understanding individual preferences, creating highly detailed travel itineraries and visa applications
• Collection of receipts and completion and submission of all expenses through the Concur system, ensuring timely settlement of Corporate Credit Cards
• Providing administrative support on various projects including preparing presentation materials, board presentations (incorporating multi-media materials video, music, web content, etc.)
• Liaising with the CEO's office of Euronews in Lyon and the Chairman of NBC News Group in New York for weekly calls & meetings
• Using Microsoft Suite to prepare confidential documents including presentations, letters, spreadsheets and correspondence
• Compiling meeting agendas for Senior Management team meetings and attending /dialling in to meetings as needed to minute action points
• Building strong working relationships with other EA's within NBCUniversal / NBC News, as well as internal colleagues and external clients
• Managing incoming correspondence, including a very high volume of emails and telephone queries, and answering where appropriate
• Ad hoc administrative and project support, integration planning meetings, action planning and team coordination
• Work with IT to ensure the President's devices (laptops, iPhones, iPads) are up to date whilst having a good understanding of various apps/functionality. Also be able to troubleshoot IT Issues
• Organising and maintaining a comprehensive filing system for presentations
• Maintaining the President's contacts to keep them up to date with frequent
changes
• Assistance with personal tasks for the President as and when required

SKILLS AND EXPERIENCE

• Demonstrated senior EA experience: a truly committed individual who has experience supporting a senior Executive across different time zones
• Excellent organisational, analytical and administrative skills, together with developed interpersonal skills and friendly manner
• Exceptional attention to detail - this really is a key skill required; meticulous and detail oriented candidates only
• Must be willing to work flexible hours, under tight deadline pressure, including breaking news and the ability to work overtime as needed
• The ability to truly multi task, prioritise and be very flexible in a fast paced and highly pressured environment is essential
• Experience with advanced international travel bookings and ability to navigate meticulous itineraries and frequently changing plans
• Ability to work with very confidential and sensitive information in a discreet manner
• Advanced computer literacy in PC operating systems, Microsoft Office products, Apple devices, Dropbox, virtual meeting platforms as well as being familiar with the internet for research purposes
• Ability to work independently and show a very strong sense of initiative and intuition, and anticipate needs ahead of time
• Ability to think globally while respecting cultural norms and accommodating local demands and requirements
• Proactive and energetic with a positive attitude and solution focused
• Resilient and resourceful - must be able to work effectively with the minimum of supervision
• Flexible, personable, self-starter, extremely detail-oriented with excellent organisation skills
• Experience in supporting Senior Management in Entertainment or International Business preferred
