Digital Production Coordinator

London

VICE are looking for a full time Digital Production Coordinator to work across all VICE & i-D owned digital channels (Vice.com, Munchies, VICE sports, Broadly, Motherboard, Noisey and Vice Fashion & Luxury Group). The Digital Production Coordinator will be directly responsible to the Production Manager for the day-to-day workings of the production team, and will be across multiple productions at one time.

The right applicant shall be highly organized, good at prioritising, personable, detail focused and willing to assist in all aspects of Production. You will be working in a busy environment and must be able to handle multiple tasks and tight deadlines. A background in documentary and/or current affairs shoot set-ups is preferred.

As the Digital Production Coordinator you will support the digital production department. You will assist all administrative and logistical tasks to aid the smooth running of the department - both in the office and on UK & International shoots.
You will be familiar with all things Mac, be proficient with Microsoft word & excel, organized, personable, focused and willing to assist in all aspects of Production. You'll be working in a busy environment and must be able to handle multiple tasks and tight deadlines. This is an office-based job.

Job Description:
• Co-ordinate travel, accommodation, work permits and visas for cast and crew.
• Prepare and distribute call sheets, RA, production reports, shooting schedules, crew and cast list where necessary.
• Be organised, prioritise and manage their work in a proficient way, meeting deadlines and working to achieve the best possible films.
• Book crew as required by the Production Manager.
• Responsible for ensuring the completion of all admin related tasks to the delivery of a film, including release forms, and licensing paperwork, ensuring that circulation to the relevant people and uploaded to the VICE video entries for transmission.
• Working alongside the post-production coordinator preparing for upcoming ingests and ensuring assets are delivered and stored appropriately.
• Responsible for checking reconciliation of all petty cash and credit cards for production shoots. Ordering currency floats for foreign shoots.
• Tying up all loose ends, and ensuring that office files are stored safely, and in a suitable format, so that other personnel when required can easily access information.
• Ordering equipment, supplies and arranging their collection. Organise the use of courier and shipping companies. Liaising with the kit room manager at all times.
• To cover for the other Production Coordinator & Production Manager [in their absence] to the best of their ability
• Enthusiasm and passion for creative filmmaking with an eye always to getting the best value for money on screen
Experience and Qualifications:
• Ideally have at least 2 credits as a production coordinator
• Must be incredibly organised multi-tasker, able to meet tight deadlines and have great attention to detail.
• Good Excel and numeracy skills.
• A good communicator at all levels.
• Preferred: a trained First Aider

Other:
• To undertake such other tasks including general administrative duties as may be required from time to time limited to:
• Managing all activation for video, and liaising with our international territories and PR teams.
• To be an ambassador for the business at all times.
