TV Locations Assistant

London

The TV Locations team provides a one stop shop for finding and engaging locations for use in in-house productions. We maintain a large database of photos and details for all kinds of locations from derelict warehouses to stately homes. The team also agree contracts to engage the locations and make payments.

The Team recently joined Knowledge Rights and Business Affairs and moved to new offices in Media Centre. We are currently exploring new ways to streamline our work using IT and paperless systems. We need a Team Assistant to help devise and implement the new ways of working and provide secretarial and administrative support to our team.

Role

In this junior role, you will be working within a team, providing support the Manager of TV Locations and the TV Locations team. You will be main point of contact for all enquiries and manage all aspects of the office environment as well as be responsible for managing the team's shared drive and precedent documents ensuring accessibility by the team and wider BBC business teams. You will be responsible for managing contracts raised by the Contract Executives, sending out contracts and filing returned documents. Having joined the Knowledge and Rights & Business Affairs team, you will ensure team diary commitments and admin practices are aligned where appropriate.

Requirements

You should have proven secretarial and administration experience with ability to manage a busy office. You'll possess strong planning and organising skills with the ability to use initiative to plan and prioritise workload effectively whilst also responding flexibly to rapidly changing priorities. With excellent IT skills, including intermediate/advanced knowledge of MS Office, you'll also have experience of maintaining office and administrative systems and devising new systems or improvements to existing ones where appropriate. As you'll be dealing with a wide range of internal and external contacts it's important you possess strong interpersonal skills. Experience of handling contracts would be an advantage.
