The Team Assistant provides a high level of service support to the Head of Creative and other members of the Creative team in all administrative aspects of their role, ensuring that they are able to work as efficiently and effectively as possible.
KEY RESPONSIBILITIES
• Diary management for the Deputy Head of Creative and other members of the Creative team. To include:
o Organising meetings, screenings and other events
o Booking meetings rooms
o Coordinating travel arrangements as necessary
• Any other office admin, including:
o booking taxis
o processing expenses
o booking theatre tickets
o ordering materials/DVDs/books
• Assisting with the coordination of the Cannes Film Festival and overseeing the festival schedule for the senior team
• Coordinating Film4 Talent Dinners and other events; sending out invitations; booking venues; organising cards and gifts
• Being the first point of call for submissions enquiries via phone and email
• Maintaining a contacts database for the Creative team
• Maintaining the department's DVD library
• Liaising with other Film4 assistants to ensure the smooth running of the department overall.
• Working flexibly and efficiently to help support one-off projects and events as they arise.
ESSENTIAL REQUIREMENTS
• A highly organised individual who has exceptional organisational skills and attention to detail.
• Previous experience of diary management is a must as the role manages a busy schedule for the head of the department.
• Must possess the ability to remain calm under pressure.
• Proven experience in supporting a busy and dynamic department.
• Advanced MS Office skills - Powerpoint, Word, Excel.
• Must have a passion and interest in film.
• Good communication skills in order to interact confidently and effectively with staff and external providers both verbally and written
• Builds and maintains effective working relationships at all levels of seniority, both internally and externally.
• Needs to have a proactive attitude.
• Ability to deal with several projects at once, prioritise and work efficiently under pressure.
