Production Office Manager
London
This is an outward-looking, intuitive role designed to support the Head of Production and the production management team by providing a constant point of reference for this busy department. Helping to maintain the department's communication across the NT and keeping the administrative systems and all departmental information up to date. In this role good intuition is key and the ability to pitch in with any day to day help and support where necessary.
Duties and Responsibilities
Main Duties:
1. To provide administrative support to the Head of Production and production managers.
2. To be a point of contact for freelance stage designers working in the building and to keep production managers informed of their availability during the whole production process.
3. To assist in the development of new systems and the rationalising of old systems that help ensure a smooth and well documented production process.
4. To manage inductions of new staff into the production office.
5. To assist production managers with basic administrative tasks i.e. travel, press night tickets, etc.
6. To manage financial systems in the office including credit card returns, petty cash, purchase orders and processing invoices.
7. Managing the interface between the production and HR departments.
8. Organising production debrief meetings.
9. Ensuring smooth functioning of production office with regard to general office supplies and up to date notice boards.
10. Management and pastoral care of work placements.
11. Organising and updating the displays on the Sherling High Level public walkway.
12. To understand systems employed by the technical administrators and help in their integration with the production process.
13. Organise and maintain shared production folders on the IT network.
14. Assist the design bursary posts in the day to day running of the Max Rayne Design Studio.
Person Specification
The postholder must be:
1. An excellent communicator.
2. Dedicated and committed with excellent focus and organisational skill.
3. Confident in their ability to deal with challenging situations in a professional manner.
4. Resilient and with the ability to demonstrate and communicate enthusiasm and diplomacy in all aspects of this highly demanding job.
5. Capable of integrating themselves into an established and demanding building whilst actively engaging themselves in the production process.
6. Willing to learn "on the job" in a pressured environment.
Qualifications & Experience
The postholder must have:
1. Excellent IT skills, principally, but not limited to Microsoft Office
2. Proven experience working in a producing theatre
