Personal Assistant

London

Key tasks include, but are not limited to, the following activities;

Diary/ travel management
-Complex diary management: ensure all diaries are managed efficiently and effectively, scheduling meetings, and liaising with other PAs and senior managers
-Organising travel plans: booking all aspects of trips, providing itineraries and suggesting efficient ways of travelling/ planning meetings
-Acting as first point of contact - hosting visitors, liaising with members of the Senior Management Team, etc

Team Meetings/ Conference/ Event Management
-Thinking ahead and planning meeting requirements -ensuring agendas / rooms / IT etc set up
-Co-ordinating and booking meetings/ away days/ lunches/ conferences for internal and external meetings, as required
-Arrange conference meetings which involves choosing venues, coordinating timings and all relevant requirements associated

General PA duties
-Proactively manage all administrative tasks, such as filing, typing, minute taking for team meetings
-Build strong relationship with other PAs in UPHE/ international OpCos
-Produce great PowerPoint presentations as required
-Completing expenses, raise POs, etc in line with company requirements
-Answering and screening incoming calls
-Liaising with other internal departments, as required
-Provide general team admin support as required
-Updating and managing document databases as required

Essential Skills
•Solid experience working at Personal Assistant level. Ideally experience working in an International environment
•Skilled super-user of Microsoft office, Outlook, Word, Excel, and PowerPoint
•Strong interpersonal skills, able to work with people at all levels in the organisation
•Able to manage under pressure and conflicting demands as well as prioritise tasks from several managers
•Can-do attitude, positive, honest, reliable and energising.
•Be available and approachable
•Able to plan work on his/her own initiative and to tights deadlines
•Proactive attitude, be on top of the work and team priorities to anticipate line managers' needs
•Excellent project management skills
•Excellent verbal and written communication
•Strong numerical skills
•Excellent attention to detail
•Self-starter
