It proposes, manages and directs decisions about digital distribution and channel delivery, digital switchover, programme archiving strategy, and any other broadcast technical issues that affect Channel 4 and the wider industry. The department also ensures technical and service standards for programme delivery on all distribution platforms are maintained and that operational processes and resources meet the needs of the business for the trafficking and broadcast of all material on all platforms. JOB PURPOSE The job holder will be the Personal Assistant to the CTO of Broadcast & Distribution and Chief Architect (CA), as well as provide general organisational and administrative support to other managers within the D&BT department. This support will include the programme management team. KEY RESPONSIBILITIES Personal Assistant to the CTO of Broadcast & Distribution and CA, administrational and organisational support to managers within D&BT. Project management support for the broadcast technology services at Red Bee Media and general support for the wider team. Diary management for the CTO of Broadcast & Distribution and CA and other managers when required.Correspondence management and phone call screening for CTO of Broadcast & Distribution and CA.Act as a central point of contact internally and externally for department queries.Arrange and coordinate meetings with suppliers, industry groups and internal C4 staff, including catering provision and meeting and greeting participants.Co-ordinate attendance and registration at conferences.Organise travel itineraries, accommodation, and tickets for the D&BT department.Provide general assistance to Programme Management with duties that include processing of invoices and clip and dub requests.Creation, tracking and maintenance of filing systems and document management systems, for projects and related departmental activities.General administration support for all D&BT managers including: assistance with reports, presentations, spread sheets, project plans, ad-hoc projects and minutes.Expenses processing for the D&BT team.Sort & distribute department post and maintain stationary stock.Liaison with HR and Facilities Management re. New joiners and staff moves, including office space, equipment, computer and telephone accounts.Update holiday and sickness records for the D&BT department.Update and distribute departmental information e.g. organisation chart, induction packs, email distribution lists.Organise departmental events. SKILLS AND EXPERIENCE REQUIRED BY CANDIDATES INCLUDE: Must haveA proven track record of operating at a PA levelExcellent communication skillsAdvanced MS Office skills - OutlookIntermediate MS Office skills - PowerPoint, Word, ExcelExperience of building and maintaining working relationshipsResilience when encountering difficult peopleThe ability to organise and manage workload by prioritisingA very pro-active approachGood attention to detail Nice to haveExposure to Microsoft Project & VisioExposure to working in a project-based environmentExperience of checking and coding invoicesAn awareness of C4 business areas, including broadcast terminologyExperience of providing administrational support to a team of managersEvent organising experienceExperience of providing cross departmental support
