Office Administrator/Assistant

London

We are a film and TV production company based in London looking for an office administrator / team assistant to join our team.

Candidates should have a minimum of 6 month experience in a similar role. References will be required.

This is a long term position but there will be a 3 months probation period.

General Duties:

- Participate and take notes in meetings/conference calls when requested;
- Proof read treatments and documents;
- Book flights, hotels, taxis, trains as and when necessary;
- Keep an up to date list of channel commissioners
- Keep an up to date list of directors and editors
- Raise Purchase Orders ;
- Request invoices to company's accountant;
- Reconcile expenses and assign them to the relevant production;
- Manage office's petty cash; reconcile receipts at the end of each month;
- Send all invoices, receipts, timesheets, PO's, reconciliations,etc. to accountant;
- Make sure all new employees fill out a start form, and a copy of a signed contract + form of ID is saved in the Server;
- Liaise with insurance company/H&S people to make sure everything is in order;
- Make sure Fire Risk Assessment is up to date and all employees are aware of fire instructions; Act as a Fire Warden;
- Answer calls and redirect them when appropriate;
- Manage the company's 'info' email account and deal with requests;
- Manage producers and HoD diaries;
- Make sure everything is filed away correctly and by production;
- Keep company's contact list organized and up to date;
- check printer supplies;
- order stationery;
- make sure computers/phones are connected to WIFI;
- Sort problems with laptops/phones when requested;
- Liaise with IT person when needed; make sure emails problems are sorted as quickly as possible;
- Make sure domain hosting is paid for;
- Manage company's email business accounts - create email accounts for new crew members and make sure everyone is following security instructions (2-way verification, etc);
- Keep an up to date list of the company's inventory: hardware, furniture, etc.
- Liaise with all office suppliers and maintain everything working to a good standard: management, alarm, phone, internet, courier, etc;
- Keep kitchen area clean; collect all glasses and mugs at the end of the day; run the dishwasher as and when necessary;
- Purchase kitchen and toilet supplies: fruits, milk, teas, coffee, toilet paper, soap, etc.;
- Liaise and pay the cleaner;
- Empty the bins and take rubbish out as and when necessary;
- Water plants
