Adventure Project Manager

London

Core responsibilities

Expedition planning: creating numerous options and ideas for clients to choose from. Making that idea a reality by liaising with subject matter experts from around the world and ensuring that each detail is executed to the highest possible standards

Logistical responsibilities: oversee all logistical elements of trips. Includes complex itineraries, contingencies and failsafe procedures, equipment sourcing and ownership of all aspects of logistics and costing of trips. Financial ownership, including keeping detailed log of expenses incurred and ensuring all equipment is sourced in a timely and cost effective manner. Ensuring all communications, safety procedures, permits, travel requirements and insurance are in place

Trip and project finances: in conjunction with the Directors, oversee all trip costing to ensure all aspects are covered including appropriate financial buffers and contingencies in a clear and understandable format. Financial ownership for issuing invoices, ensuring funds are received in a timely manner and overseeing all payments to suppliers, consultants and relevant third parties. Presenting trip accounts to Directors and HCA Accountant

Team management: as member of HCA leadership team, oversee efficient management of small project team. Overall responsibility for achievement of team targets, communication, task delegation, employee development and team motivation. Report to Directors, work alongside other Project Managers to allocate HCA project workload

Client and 3rd party management: liaise with clients on a regular basis to ensure direction and detail of expedition. Ensure the highest standards are achieved when dealing with clients' requests. Negotiate and build longstanding relationships with 3rd party suppliers and operators worldwide

Job Specification & Duties

Trip planning and Logistics:
• Manage all logistical and financial aspects of HCA trips - able to produce proposals for clients, creating costs for each trip, monitoring and adjusting costs as necessary during trips, and shrewd financial analysis post-trip
• Nurture existing and form new relationships with suppliers to ensure access to best equipment
• Source and negotiate contracts and rates with very best calibre of consultants and experts to support HCA trips as needed
• With respect to every trip, ensure that all relevant insurance, risk assessments, permits and other legal requirements are valid and in place. Trouble shooting - contingency, safety
• With good forward-planning, create detailed contingency and alternative plans so that every logistical eventuality of trip is thoroughly covered

Personal Specification:
• Naturally logical individual with strong grasp of business and trip operational requirements
• Good problem solving capabilities - fast-thinking and solutions focussed
• Ability to work to a deadline, with the knack of excelling under high levels of pressure
• Ability to work autonomously and within a team, while providing regular update to Directors on areas of responsibility
• Excellent communication skills
• Excellent planning and time management, with exceptional attention to detail
• Strong numerical skills to take responsibility for creating, tracking and overseeing all financial aspects of individual projects
• Personable in creating relationships with suppliers and clients as part of a strong and harmonious office
• Strong personal determination so when deadlines may create possible stress, a 'can do' attitude prevails and work is delivered in a timely and professional manner

Essential experience:
• At least 3 years' experience of planning trips and project management
• Experience in logistics, equipment and expedition administration
• Previous team management experience
• Previous responsibility for managing expenditure and 3rd party relationships
• Strong interest in travel and adventure
• Computer literate with excellent usage of Outlook and Office 2010

Desirable experience:
• Project management qualifications
• 3rd party travel contacts worldwide
• Wildlife/travel documentary experience

Qualifications:
• Degree (or equivalent)
• Languages (desirable)
